How I handle your Information

1Who is responsible

Hygge Wealth, a division of Proactive Consulting (Pty) Ltd, Windhoek, Namibia, is the data controller for the information described here. For anything about your data, write to heiko@hygge.com.na.

2What I collect

From the onboarding form

• About you: name, email address, mobile number, date of birth, role, where you are based.
• About the other participants, where your programme includes them.
• About your business: name, legal form, what it does, headcount, ownership, turnover band.
• What you want from the coaching, in your own words.
• Billing details: invoice name, address, and an invoice email if it differs.

During the programme

• Session recordings and the transcripts and notes made from them.
• What you share in sessions, including information about your business, your finances and your circumstances. Some of this is personal, and it is treated accordingly.
• Documents you send me to prepare for a session.

Only if you choose a Human Design analysis

• Time of birth and place of birth. These two are asked for after onboarding, never on the form. Your date of birth is already collected above.

I do not collect ID numbers, bank account details or payment card details through the form. Invoices are settled by transfer, outside these systems.

3Why I hold it, and on what basis

• To deliver your programme. This is the performance of our coaching agreement.
• To invoice you and to meet the record keeping that tax law requires.
• With your consent, for anything optional: the newsletter, and the Human Design analysis. You can withdraw either at any time without affecting the rest of your programme.

4Session recordings

Sessions are recorded, on Zoom and in person, as set out in section 9 of the Terms and Conditions. Recordings let me prepare properly and follow through on what we agreed.

• Who can see them: only me, and the participants of that session if they ask for a copy.
• How long: no longer than six months after your last session, and often less. Deletion is checked on a fixed monthly schedule, so the limit is a routine rather than an intention.
• Pausing: ask me to stop the recording for part of a session and I will.

5AI processing

I use AI tools to transcribe recordings, summarise sessions and draft the notes and materials you receive. Two rules apply to every tool used this way:

• Only paid subscriptions with model training switched off. Your content is not used to train anyone's AI models.
• Everything is reviewed by me before it reaches you.

Ask me for the current list of tools and I will send it to you.

6Where it is stored, and who else touches it

These are the services that process your information on my behalf.

Local storage means my own equipment, which is access controlled and encrypted.

Your information is not sold, rented, or shared with anyone for their own marketing.

7How long it is kept

Coaching notes and materials	While your programme runs, and for up to 5 years afterwards
Human Design birth details	Until you ask me to delete them, and in any case with your client record
Client and billing records	5 years, as tax law requires
Newsletter subscription	Until you unsubscribe

You can ask me to delete anything earlier, except where I am required to keep it for tax purposes.

8What you can ask for

At any time, you can ask me to:

• Show you what I hold about you.
• Correct anything that is wrong.
• Delete your information.
• Send you a copy to take with you.
• Stop anything you consented to, including the newsletter and the Human Design analysis.

9Which rules I apply

Namibia's data protection framework is still developing. The Electronic Transactions Act 4 of 2019 governs personal information in electronic transactions, and it is the reason a tick box on a form is a valid way to accept terms.

10Changes

If how I handle your information changes, this notice and the version date change with it. Where a change matters to you, I will tell you rather than leave you to find it here.
